Job Summary:

We are seeking a highly organized and detail-oriented Admin Executive to join our team. The ideal candidate will support various administrative functions across the organization, playing a critical role in ensuring smooth daily operations. This position is open exclusively to UAE Nationals and will be based in our Al Nahda, Sharjah office.

Key Responsibilities:

  • Data Entry & Management: Maintain and update databases with accurate information, ensuring data integrity.
  • Tender Monitoring: Track, review and share details of relevant tenders from different tender portals and institution websites. As well, ensure timely submission of tenders.
  • Arabic Translations: Provide accurate translations for social media posts, official documents, and marketing materials from English to Arabic.
  • Support Sales and Marketing Teams: Assist with administrative tasks to help drive marketing campaigns, sales initiatives, and events.
  • Document Management: Organize, file, and manage both digital and physical documents for easy retrieval.
  • Client Communication: Respond to inquiries, assist with client follow-ups, and maintain effective communication with external stakeholders in both Arabic and English.
  • Office Coordination: Handle daily office tasks such as scheduling meetings, managing calendars, and supporting overall office operations.
  • Other Administrative Tasks: Provide general administrative support to all departments as needed.

المسؤوليات الرئيسية:
إدخال البيانات وإدارتها: صيانة قواعد البيانات وتحديثها بمعلومات دقيقة، مما يضمن سلامة البيانات.
مراقبة العطاءات: تتبع ومراجعة ومشاركة تفاصيل العطاءات ذات الصلة من بوابات العطاءات المختلفة ومواقع المؤسسات. كذلك، ضمان تقديم العطاءات في الوقت المناسب.
الترجمات العربية: تقديم ترجمات دقيقة لمنشورات وسائل التواصل الاجتماعي والوثائق الرسمية والمواد التسويقية من الإنجليزية إلى العربية.
دعم فرق المبيعات والتسويق: المساعدة في المهام الإدارية للمساعدة في قيادة الحملات التسويقية ومبادرات المبيعات والأحداث.
إدارة المستندات: تنظيم المستندات الرقمية والمادية وحفظها وإدارتها لسهولة استرجاعها.
التواصل مع العملاء: الرد على الاستفسارات والمساعدة في متابعة العملاء والحفاظ على التواصل الفعال مع أصحاب المصلحة الخارجيين باللغتين العربية والإنجليزية.
تنسيق المكتب: التعامل مع المهام المكتبية اليومية مثل جدولة الاجتماعات وإدارة التقويمات ودعم عمليات المكتب الشاملة.
المهام الإدارية الأخرى: توفير الدعم الإداري العام للجميع

Desired candidate profile:

  • Proven experience in a similar administrative role.
  • Excellent written and verbal communication skills in both English and Arabic.
  • Vocational or diploma-level education in business administration or a related field.
  • Must possess a valid UAE family book.
  • A valid UAE driving license is preferred.
  • Strong proficiency in MS Office Suite (Word, Excel, PowerPoint).
  • Prior experience with tender management is a plus.

Work Schedule:

  • Days: Monday to Friday
  • Hours: 9:00 AM to 4.00/ 5:00 PM
