As part of our growth, we are now searching for a talented Office Manager & Administrative Assistant in Riyadh, Saudi Arabia. Description: Responsibility for all routine and non-routine office management and administrative support for the Riyadh office for F5 Networks Limited. This will involve a large degree of liaison and co-ordination with the Executive team and the overall day to day responsibility for the Riyadh office. Responsibilities: Office/Facilities Administration: Managing / Administering of office facility and all related duties to ensure the smooth running. Managing the office reception: greeting visitors, managing calls to the switchboard, managing in and out going post and deliveries. Assistance at Pre QBR and QBR events, and other EMEA sales and marketing events on a needs basis - e.g. annual EMEA Partner Conference Management of relationships with external suppliers including fuel cards, cleaning services, mobile phones, courier/shipping companies, etc. Managing of relationship with existing facilities/maintenance provider Involvement in coordination and managing of EMEA travel for staff, including frequent meetings with EMEA travel service provider Assisting Senior Directors or Vice President META, upon request Managing/Assisting Senior Director in sales meeting, forecast calls, cross functions calls, in minutes of meetings, actions and follow ups Point of contact and coordination with local PR office/agent in terms of follow ups, work permits validity, renewals, exit/re-entry, health insurance Monitoring office supplies and ordering stock (including IT purchases) as appropriate Coordination of evaluation box delivery and receipts with Customer operations team Assisting Professional services team with logistics, course booking and movement of mobile training equipment Invoice filing when required by Finance Ensure office is presentable Health & Safety within the office space Support EMEA IT team when needed Raise Purchase order for any services Arrange office repairs and pro-active maintenance of office equipment and office facility. Monitor and mange inhouse cleaning of the office. Manage Shipping and post services locally. Provide cost reporting on run rate for office supplies. Liaise with landlord on car parking, building maintenance, fire drills and safety. Experience: Ideally 1+ years in a similar administrative type role Previous experience of dealing at Management level and above Skillsets : Ability to liaise at all levels Ability to assimilate information and work pro-actively Good telephone skills Advanced MS skills (to include Powerpoint and Excel) Working in a team environment The Job Description is intended to be a general representation of the responsibilities and requirements of the job.
