Job Description

Monitoring and improvement of FMS operations for all promoter properties in 3 locations.

Engineering

  • All equipment is in working condition.
  • The serviceability of all equipment is 100%.
  • Records are maintained to assess, and defaults are recorded correctly.
  • At no point in time the equipment malfunction for carelessness.
  • Technical training is imparted to them as per the requirement.
  • Ensuring the daily/weekly/Monthly/Quarterly PPM activities is correctly followed.
  • HVAC to be functional and optimally used.
  • Power saving measures and energy efficient practices to be inculcated.

Systems & IT

  • All the systems are maintained as per the required standard.
  • Safety of the network and data to be on high priority.
  • Functionality of all the system related equipment’s in the premises.
  • Ensuring the systems and networking practices are correctly followed and any issues to be highlighted to the concerned team.
  • Home Theatre functions are Smooth and functional and ensuring the operations are executed correctly.
  • Cameras in the premises are correctly mentored.
  • Fire alarm systems are periodically checked and tested quarterly.
  • Intrusion alarm systems are monitored and functional.
  • Functionality of the telephones is monitored correctly, and physical connectivity is always checked and replaced when needed.
  • VC coordination at the premises to be executed carefully.
  • Necessary maintenance of the systems is taken care.
  • Vendor coordination with the support staff and ensuring the software are updated and the AMC and contracts are executed optimally.

Safety & Security.

  • Ensuring the premises are absolutely safe and livable without any critical issues.
  • Liasoning with the society RWA, Society Security and local police for any safety alerts in and around the premises.
  • Be aware of all the safety protocols and execute the same immediately.
  • Ensuring there is no compromise on any safety aspects pertaining to the society and premises.
  • Ensuring the background verifications of all the team members internal and external to be uncompromised.
  • Any suspicious activity and pattern to be alerted and action taken without any delays.
  • Ensuring the registers and records are maintained correctly and audited every month.
  • All the VIP Movements are monitored and information to be communicated intelligently keeping protocols as a prime focus.

Project

  • Coordinate any projects related activities related to promotors properties.
  • Responsible of coordination and execution from PR to PO
  • Assessing the progress and taking the handover.
  • Ensuring all the bills are certified post checking with the Projects and Engineering Department.

Fire Safety and Training

  • Upkeep and checks of all fire related equipment’s in the premises.
  • Conducting the training classes once every quarter to all staff.

Housekeeping

  • Ensuring team is trained well to handle the areas.
  • Behavioral grooming of all the team members.
  • Housekeeping Supplies are optimally used without any wastage.
  • Ensuring the necessary pest control is done as per the requirement.
  • Ensuring the daily/weekly/Monthly/Quarterly activities are correctly followed.
  • Upholstery and soft furnishings are taken care and half yearly or yearly maintenance to be planned and executed.
  • Stone surface care and maintenance to be taken care of.
  • Technical training is imparted to the team as per the requirement.
  • Background verifications and checks of all the team members in the premises to be at absolutely flawless.

Promoter Coordination

  • All the requests of the family members are carefully understood and executed.
  • All schedules related to Housekeeping, Horticulture and Engineering are executed as per the family member’s direction.
  • Any functions or events in the premises are executed with complete involvement and ensure end to end coordination from the start to the end of the function till the premises are back to the usual state.
  • Any improvements in the premises are sensibly understood and executed as per family members needs by contributing to the entire ascetics of the room and premises.
  • All the bills and documents to be submitted as per the direction of the family members and feedback to be taken for any improvisations.

Expense monitoring and management

  • All expenses are incurred as per the process and approvals.
  • Any new expenses to be incurred to be studied and correct information and facts to be presented to ensure there is no wastage of any resources.
  • All approvals to be taken as per the process.
  • All bills to be carefully audited for any loopholes and pilferages.

Vehicles & Maintenance

  • Ensuring the vehicle logs are correctly maintained.
  • Responsible for timely renewal of insurance, servicing, Salik tags, fuel expenses, and RTA vehicle Renewals.

Contracts management

  • All the contracts to be studied in detail and ensure they are followed as per the service level agreements.
  • All options to be studied before finalizing the contact.

Standard operating guidelines

  • Quality orientation to best in class and best of standards as per the premium availability in the market.
  • Create a Manual for SOPs, policies, working rules and procedures, standards related to each service, PM schedules, contract management,
  • Generation of MIS, reports, analytics, costing, budgeting, commercial management including SAP activities PR-PO, invoice management and payment, etc.

Guest House Maintenance & Management

  • Manage and renew lease and service contracts of all company guesthouses.
