As a Real Estate Secretary, you will provide administrative support to the real estate team, assisting with various tasks to ensure the smooth and efficient operation of the office. Your organizational skills, attention to detail, and ability to multitask will contribute to the success of real estate transactions and client relationships.

Responsibilities:

Administrative Support: Provide general administrative assistance to real estate agents and brokers, including managing phone calls, emails, and correspondence.

Appointment Scheduling: Coordinate and schedule appointments, property viewings, and meetings for clients and real estate professionals.

Document Preparation: Prepare and format documents such as contracts, agreements, listings, and presentations, ensuring accuracy and adherence to company standards.

Client Communication: Communicate with clients, lenders, attorneys, and other parties involved in real estate transactions to convey information, gather documents, and facilitate smooth communication.

File Management: Organize and maintain physical and electronic filing systems for property listings, client records, contracts, and other documents.

Data Entry: Input and update information in real estate databases, CRM systems, and spreadsheets, ensuring data accuracy and completeness.

Office Operations: Assist with office tasks such as ordering supplies, processing invoices, and maintaining office equipment to support day-to-day operations.

Client Relations: Provide excellent customer service to clients by answering inquiries, addressing concerns, and directing them to the appropriate real estate professionals as needed.

Additional Requirements:

Flexibility to work occasional evenings or weekends to accommodate special events or deadlines.

Ability to work independently with minimal supervision and as part of a team when needed.

Professional demeanor and positive attitude in dealing with clients and colleagues.
