Job Description

· Reads and screens incoming correspondence/reports and e-mails, make preliminary assessments of the importance of materials and organize documents, handle some matters personally and forwards appropriate documents/materials to the GM and/or to the concerned person.

· Receives and screens incoming calls and visitors, determines which are priority matters and notify the GM accordingly. Make referrals if necessary to appropriate staff or provides requested information.

· Performs a variety of administrative or executive support tasks that are highly confidential.

· Coordinates office management activities for the General Manager

· Composes/encodes correspondence as instructed by the GM or in response to inquiries.

· Acts as liaison between the GM and Managers by transmitting directives, instructions, assignments and following up on the status of assignments.

· Updates the GM on status of issues before scheduled meetings.

· Prepares agenda and collect materials for meeting and encoding minutes and keep records of proceedings.

· Takes and transcribes dictation on technical and confidential matters from the General Manager

· Coordinates and facilitates the GM’s Calendar to arrange appointments, meetings and/or conferences.

· Recommends actions to be taken on office expenditures such as equipment and office supply needs.

· Circulating agendas, reports and approved minutes if necessary.

· Compiles and maintains records, statistical information and reports.

· Establishes and maintains various filling and records management system.

· Perform other related duties as assigned.
