Job Description

· To prepare, manage and files important business document, creates reports for the manager, keeps documents safe and backed up, archives as required.

· Graduate with 3-5 years minimum experience in similar role in the Construction company and Architectural Consultant.

· The person should have an excellent MS office skills and excellent language proficiency.

· Able to do online registration with the government departments and developers.

· Familiar with prequalification and material submittals.

· Understands, Implements and maintains document control processes and procedures

· Develops and maintains the Document Management System

· Ensures Document Management accordingly to established procedures or standards (documents numbering, formats, issuance, review, dispatch, recording and archiving)

· Manages all flows of documents either in electronic form or on paper support

· Maintains and manages electronic and hard copy documents as required

· Processes incoming documentation (registration in the DMS, internal distribution, archiving

· Makes sure that controlled copies of latest approved documents and drawings are distributed internally

· Ensures all drawings / documentation are correctly identified, distributed and filed/stored

· Communicates and liaises with Project Teams to agree standards, systems, efficient flow of documentation, handover and close-out of Project activity to ensure consistency in document control as required

· Processes outgoing documentation (transmit to Client and Suppliers/3rd parties

· Makes sure that controlled copies of latest approved documents and drawings are distributed externally (Clients and Suppliers

· Communicates and liaises with Suppliers/3rd parties to agree standards, systems, efficient flow of documentation, handover and close-out of Project activity to ensure consistency in document control as required

· Ensures identification, traceability and retrieval system so that clients / consultants are serviced immediately

· Does general document control activities such as photocopying, scanning, analysis of suppliers’ documents compliance with Project standards regarding numbering and all others aspect related to document quality

· Assists in the preparation collation and issue of reports and registers as may be required

· Does other duties as when allocated
