PURPOSE OF THE ROLE
We are seeking an ambitious, motivated and experienced individual to ensure high quality operational support is provided to the Partners and Associates across the Qatar office (including secondees or visitors from other AG offices), enabling the smooth running of the operations. This is a dual role predominately providing Legal PA and Office Administrative support to the Qatar office and Partner and fee earner groups.
The role supports the provision of a full range of office administration to ensure the smooth running of the Qatar office. This includes co-ordination, where appropriate, with the landlord and suppliers to ensure effective facilities management across the office to cover cleaning, security and maintenance; visitor and reception services (including catering).
This is an exciting hands-on role, and you will have the opportunity to be involved in a variety of different areas within the firm. The role is also a key point of contact / liaison between the UK and the Qatar office and will build relationships with a range of key stakeholders.

WHAT TO EXPECT IN THIS ROLE
LEGAL PA
  • Delivers Legal PA support for the Qatar office and acts as their key contact for the Head of Office, Partner and fee earner groups.
  • Assist with all planning and logistics for hearings both locally, and internationally.
  • Process expense claims on behalf of fee earners.
  • Co-ordinates Qatar messaging regarding operations, such as office closures, public holidays etc.
  • Organises all internal office events, working with the Business Services Finance Manager and Business Development team regarding budget allocation.
  • Promotes and nurtures an inclusive and diverse culture within the office, leading by example and upholding the firm's values at all times.
  • Work collaboratively with all Finance teams to proactively support fee earners' financial performance including client billing and reports, management of matter balances and working capital.
  • Work closely with Business Development to support fee earners on organisation of events.
  • Undertake all matter management processes, applying correct rates at opening, prompt preparation of engagement letters, matter specifications and liaising with the Business Acceptance Unit as required.
  • Conflict check and Client Due Diligence processes, accurately completing the end to end Client Matter Inception (CMI) process whilst adhering to Firmwide best practice protocols.
  • Ensure all file management processes are undertaken correctly by identifying matters for closure, bills are paid, clearing client balance, WIP and archiving completed files.
  • Comprehensive diary management including forward planning, proactive travel and meeting arrangements, identifying meeting clashes and resolving independently where appropriate.
  • Identifying and recommending cost efficient options for complex travel arrangements.
  • Ensure all meeting requirements are identified and actioned, including proactive preparation of meeting packs, itineraries, room and hospitality resource.
  • Delegate appropriate tasks to Document Production including pitch and tender
