Job Overview:

Emirates Talent Solution is looking for a highly organized and efficient P/A Executive Secretary to support senior management in a leading company within the Property Development & Real Estate Brokerage industry. The ideal candidate will have a strong background in administrative support, exceptional communication skills, and the ability to handle a wide range of tasks with professionalism and discretion.

Key Responsibilities:

  • Administrative Support:
  • Provide comprehensive administrative assistance to the executive team, including managing schedules, organizing meetings, and handling correspondence.
  • Prepare reports, presentations, and documents related to property development and real estate transactions.
  • Maintain and organize confidential files, records, and office systems.
  • Communication & Coordination:
  • Act as the primary point of contact for internal and external stakeholders, managing communication on behalf of senior management.
  • Coordinate travel arrangements, including booking flights, hotels, and preparing itineraries for business trips.
  • Ensure smooth communication and coordination between different departments and external partners.
  • Meeting & Event Management:
  • Organize and coordinate meetings, conferences, and corporate events, ensuring all logistics are handled efficiently.
  • Prepare agendas, take minutes during meetings, and follow up on action items.
  • Ensure that meeting materials and presentations are prepared and distributed in advance.
  • Confidentiality & Discretion:
  • Handle sensitive and confidential information with the highest level of discretion.
  • Manage confidential documentation related to property transactions, client communications, and financial matters.
  • Office Management:
  • Oversee office supplies and equipment, ensuring that the office is well-stocked and functioning smoothly.
  • Assist with the implementation and maintenance of office policies and procedures.
  • Support the HR department with administrative tasks, including onboarding new employees.

Qualifications:

  • Bachelor's degree or equivalent experience in Business Administration, Secretarial Studies, or a related field.
  • Minimum of 3-5 years of experience as an Executive Secretary, Personal Assistant, or similar role, preferably in the real estate or property development industry.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills in English; knowledge of Arabic is a plus.
  • High level of professionalism, discretion, and attention to detail.
  • Ability to work independently and as part of a team, with a proactive approach to problem-solving.

Job Type: Full-time

Pay: AED3,000.00 - AED6,000.00 per month
