Job Overview:
Emirates Talent Solution is looking for a proactive and highly organized P/A Executive Secretary to support senior management in a leading company within the Signage & Outdoor Media industry. The ideal candidate will have excellent communication skills, a strong background in administrative support, and the ability to manage multiple tasks efficiently in a fast-paced environment.
Key Responsibilities:
- Administrative Support:
- Provide comprehensive administrative support to the executive team, including scheduling meetings, managing calendars, and handling correspondence.
- Prepare reports, presentations, and documents as required.
- Organize and maintain files, records, and office systems.
- Communication & Coordination:
- Act as the first point of contact for internal and external stakeholders, managing communication on behalf of senior management.
- Coordinate travel arrangements, including flights, accommodation, and itineraries.
- Facilitate communication between departments and ensure smooth information flow.
- Meeting & Event Management:
- Plan, organize, and coordinate meetings, conferences, and company events.
- Prepare agendas, take minutes, and follow up on action items.
- Ensure all necessary materials and arrangements are prepared for meetings.
- Confidentiality & Discretion:
- Handle sensitive and confidential information with the utmost discretion.
- Manage confidential files and ensure data security.
- Office Management:
- Oversee office supplies and equipment management.
- Assist in the implementation of office policies and procedures.
- Support the HR department with onboarding and administrative tasks as needed.
Qualifications:
- Bachelor's degree or equivalent experience in Business Administration, Secretarial Studies, or a related field.
- Minimum of 5-7 years of experience as an Executive Secretary, Personal Assistant, or similar role.
- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills in English; knowledge of Arabic is a plus.
- Ability to work independently and prioritize tasks effectively.
- High level of professionalism and attention to detail.
- Experience in the signage and outdoor media industry is an advantage.
