Job Overview:

Emirates Talent Solution is looking for a proactive and highly organized P/A Executive Secretary to support senior management in a leading company within the Signage & Outdoor Media industry. The ideal candidate will have excellent communication skills, a strong background in administrative support, and the ability to manage multiple tasks efficiently in a fast-paced environment.

Key Responsibilities:

  • Administrative Support:
  • Provide comprehensive administrative support to the executive team, including scheduling meetings, managing calendars, and handling correspondence.
  • Prepare reports, presentations, and documents as required.
  • Organize and maintain files, records, and office systems.
  • Communication & Coordination:
  • Act as the first point of contact for internal and external stakeholders, managing communication on behalf of senior management.
  • Coordinate travel arrangements, including flights, accommodation, and itineraries.
  • Facilitate communication between departments and ensure smooth information flow.
  • Meeting & Event Management:
  • Plan, organize, and coordinate meetings, conferences, and company events.
  • Prepare agendas, take minutes, and follow up on action items.
  • Ensure all necessary materials and arrangements are prepared for meetings.
  • Confidentiality & Discretion:
  • Handle sensitive and confidential information with the utmost discretion.
  • Manage confidential files and ensure data security.
  • Office Management:
  • Oversee office supplies and equipment management.
  • Assist in the implementation of office policies and procedures.
  • Support the HR department with onboarding and administrative tasks as needed.

Qualifications:

  • Bachelor's degree or equivalent experience in Business Administration, Secretarial Studies, or a related field.
  • Minimum of 5-7 years of experience as an Executive Secretary, Personal Assistant, or similar role.
  • Strong organizational and multitasking skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills in English; knowledge of Arabic is a plus.
  • Ability to work independently and prioritize tasks effectively.
  • High level of professionalism and attention to detail.
  • Experience in the signage and outdoor media industry is an advantage.

Job Type: Full-time

Pay: AED3,000.00 - AED6,000.00 per month
