Job Description:
As an Administrative Assistant in our real estate team, you will play a critical role in supporting agents and clients by handling a range of tasks from scheduling appointments to managing paperwork. This role is ideal for someone who thrives in a fast-paced environment, is tech-savvy, and has a passion for providing exceptional administrative support.

Responsibilities:

  • Office Support: Manage scheduling for property showings, meetings, and other appointments. Answer phone calls and emails to address client inquiries.
  • Documentation & Filing: Prepare, file, and organize property-related documents, contracts, and legal paperwork with accuracy.
  • Database Management: Regularly update client and property databases to ensure all information is current.
  • Marketing Assistance: Create marketing materials like flyers and brochures, manage property listings on various real estate sites, and assist with social media posts.
  • Client Relations: Coordinate open houses, follow up with clients on necessary paperwork, and assist with customer service inquiries.
  • Financial Support: Assist with invoicing, expense reporting, and basic bookkeeping.
  • Compliance and Contracts: Ensure all paperwork meets real estate compliance standards, and coordinate with legal teams if needed.

Requirements:

  • Previous experience in an administrative or real estate role is preferred.
  • Strong organizational skills and keen attention to detail.
  • Excellent communication and customer service skills.
  • Proficiency with Microsoft Office Suite and real estate CRM software (e.g., Salesforce, Top Producer).
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Familiarity with MLS and property management software (preferred but not required).
