Job Description

We are hiring a skillful event organizer to arrange and coordinate the processes during Artistic Swimming World League on December 12-15 in 2024. The event will take place at Hamdan Sports Complex, Dubai and we would need a person to fulfill the following duties:

Duties before the event start:

1. To arrange the proper set up with contractors (the contact numbers will be shared accordingly)

2. To arrange the sign board and roll ups on the field of play
You will receive the boards and some papers to stick on December 11 at the venue.

3. To arrange a meeting with the volunteers.

4. To arrange the accreditation distribution to all the athletes on Dec, 12

5. To assure delegations knowing the complex (to show them around) on the arrival date Dec 12th right after they have received the accreditations on the entrance;

6. Arrivals of Technical controllers, Gen Referee and Chief recorder of the Event

DURING (13-15 DECEMBER)

1. To monitor good conduct of the Volunteers, their responsibilities on the FOP
2. To assure clear FOP and the complex corridors (no bottles, bags, slippers around, the athlete are allocated in the call rooms and distribute these responsibilities for the volunteers itself)
3. Assure precise schedule following (it depends a lot on the gen referee, if we talk about the competition, but other events: awards ceremonies, warm ups, opening ceremony must be in time per the schedule);
4. Meeting the VIPs and assuring the proper path for them in the complex
Description: making sure they know the right entrance and exits and escorting them. The path will be discussed with you before the event on Dec 10/11 or earlier.
5. Meeting and allocating the videographers and photographers on the right positions
Description:

  • Arranging the coordination with the streaming team, media (distributing the information for the media person, along with the results for media press release;
  • Sharing media links from photos and videos people with the Event organizer right after the competition)
  • Assigning the photographers to the specific areas for Dec 13-15 and explaining the media plan for them (there will be specific kind of videos that we would like to have (like a content plan) the examples will be shared with you before Dec 10 and you can assign specific person for each couple of videos)

  • AFTER

1. To assure the demontage the FOP (stage, LED, Banners etc) on Dec 15th afternoon

2. To assure with the Event Organizer and contractors all the payments are done

PREPARATION NEEDED & REQUIREMENTS:

  • To know well the competition venue
  • To have a contact list of contractors for the FOP contractors, Alina, Members of the Team, and everyone working on the event (will be shared accordingly)
