Role Overview:

As an Executive Assistant, you will provide direct support to the executive team in Dubai, while also managing HR tasks and assisting with preparatory accounting. You will be responsible for a variety of administrative duties, HR processes, and financial tasks, ensuring that all operations run efficiently and effectively.

Key Responsibilities

Executive Support

  • Point of Contact for Employees: Act as the first point of contact for all employees, addressing questions, concerns, and requests in a timely and professional manner.
  • Executive Support: Manage the calendars, travel arrangements, and day-to-day activities of senior executives.
  • Primary Liaison: Act as the main point of contact between the Executive Team in Dubai and the Executive Assistant in Germany. Facilitate communication and ensure alignment between both offices.
  • Internal Communication: Facilitate communication between the executive team and staff in Dubai, ensuring all employees are informed about key decisions, updates, and company news.
  • Meeting Coordination: Schedule and coordinate executive and team meetings, including preparation of agendas, minutes, and follow-ups.
  • Confidentiality Management: Handle sensitive information and issues with discretion and professionalism.
  • Document Preparation: Assist in the preparation and proofreading of reports, presentations, and internal documents.
  • Project Management: Support the management of key projects, ensuring deadlines and milestones are met.
  • Administrative Support: Provide general administrative support to senior leaders and the HR department when needed.
  • Event Planning: Organize company events, team-building activities, and staff meetings.
  • Ad-Hoc Tasks: Assist with special projects and other tasks as required by the executive team.

HR Support

  • Employee Relations: Act as the first point of contact for HR-related inquiries from employees, providing guidance on company policies and processes.
  • Recruitment Support: Assist with the recruitment process, including scheduling interviews, liaising with candidates, and managing documentation.
  • Onboarding & Offboarding: Assist with employee onboarding and offboarding processes, ensuring all administrative tasks are completed (contracts, benefits, training, etc.).
  • HR Administration: Maintain employee records, update HR systems, and ensure compliance with HR policies and legal requirements.
  • Training & Development: Help coordinate internal training sessions, workshops, and employee development initiatives.
  • Employee Engagement: Support initiatives to improve employee engagement and contribute to a positive organizational culture.
  • Payroll & Benefits: Assist with HR administration related to payroll, benefits, and other employee services, liaising with the finance department as necessary.

Preparatory Accounting

  • Invoice Management & Documentation: Assist in the preparation of invoices, track payments, and ensure all financial transactions are accurately recorded.
  • Expense Reports: Review and process expense reports and reimbursements for the executive team and employees.
  • Accounting Support: Work closely with the accounting department to ensure accurate and timely submission of financial documents.
  • Financial Reporting: Help prepare financial reports and assist in the budget preparation process for the executive team.

Qualifications

  • Proven experience as an Executive Assistant or in a similar role, supporting senior leadership.
  • Excellent organizational skills with the ability to prioritize and multitask.
  • Strong communication skills (verbal and written) and interpersonal abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with scheduling software and other office productivity tools.
  • Ability to maintain professionalism and confidentiality at all times.
  • Exceptional attention to detail and problem-solving skills.
  • Ability to work independently, as well as part of a team.
  • Knowledge and experience in Human Resources (HR) functions, including recruitment, employee relations, HR administration, and onboarding.
  • Strong communication skills in English (both written and spoken). Proficiency in [German/Arabic] is a plus.
  • Familiarity with UAE labor laws and HR best practices is an advantage.
  • Proactive, with a problem-solving mindset and the ability to stay calm under pressure.
