Job Title: Executive Secretary

We are seeking a highly skilled and proactive secretary to join our prestigious group of companies. In addition to providing executive-level support to the CEO, the ideal candidate will be involved in a wide range of administrative, operational, and project management tasks across various departments.
Key Responsibilities:
Executive Support: Efficiently manage and prioritize the CEO’s daily calendar, meetings, appointments, and travel arrangements.
Document Management:Prepare, edit, and proofread communications, reports, presentations, and business correspondence.
Meeting Coordination: Schedule and organize internal and external meetings, prepare agendas, take minutes, and ensure timely follow-ups.
Office Operations: Oversee office supplies, equipment maintenance, and vendor management to ensure smooth day-to-day operations.
Confidentiality & Discretion:Handle confidential information with professionalism, ensuring a high level of trust and integrity.
Project Coordination: Assist with various corporate projects, track progress, and ensure deadlines are met.
Administrative Support: Provide general administrative assistance to various departments, including HR, finance, and operations.
Event Management: Plan and coordinate corporate events, conferences, board meetings, and team-building activities.
Internal Communication: Act as a liaison between the CEO and other senior executives, ensuring timely communication and follow-through.
Research and Reporting: Conduct research on key industry trends, prepare reports, and assist with strategic business planning.
Customer and Client Liaison:Assist with managing relationships with key clients and stakeholders by scheduling meetings, handling inquiries, and providing support as needed.
Time Management & Prioritization: Anticipate the CEO’s needs, prioritize tasks, and effectively manage competing demands on time.
General Office Support: Perform administrative duties such as answering calls, filing, data entry, and assisting with onboarding new employees.
Required Skills & Experience:
A minimum of 5 years of experience in an executive secretary or senior administrative role.
Strong attention to detail with a proactive, self-motivated attitude.
Excellent organizational, multitasking, and time-management skills.
Exceptional verbal and written communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with Google Workspace.
Ability to manage multiple tasks under pressure while maintaining a high level of professionalism.
Strong interpersonal skills and the ability to maintain confidentiality.
