Procurement Assistant

Location: Sharjah Office

We are seeking a Procurement Assistant with strong organizational and negotiation skills to join our team in Sharjah. Preference will be given to Tagalog-speaking candidates to support communication and collaboration effectively with the team and stakeholders.

Key Responsibilities:

  • Purchase Order Processing: Generate purchase orders for approved purchase requisitions and track approved requests to ensure timely release of orders. Ensure accuracy in quantities, specifications, and pricing.
  • Supplier Coordination: Communicate with suppliers to confirm orders and follow up on delivery schedules.
  • Price Negotiation: Negotiate terms with suppliers, including pricing, payment terms, and discounts, to optimize procurement costs and profitability.
  • Contract Management: Assist the procurement team in negotiating and managing supplier contracts, ensuring compliance with terms, conditions, and regulatory requirements.
  • Supplier Relationship Management: Build and maintain positive relationships with suppliers to foster collaboration, resolve issues, and address concerns promptly.
  • Documentation and Record-Keeping: Maintain accurate records of procurement transactions, contracts, and supplier details. Ensure compliance with internal policies and regulatory guidelines.
  • Quality Assurance: Collaborate with quality control teams to ensure purchased materials meet required specifications and standards in coordination with end-users.
  • Support to Head of Procurement: Provide assistance to the Head of Procurement in reporting, vendor performance evaluation, and strategic sourcing plans.

Qualifications and Skills:

  • Strong proficiency in procurement processes and supplier management.
  • Excellent communication and negotiation skills.
  • Ability to maintain accurate records and attention to detail.
  • Knowledge of procurement regulations and compliance standards.
  • Fluency in Tagalog is preferred.
  • Prior experience in procurement or a related field is a plus.
