The Credit Collections Specialist is a key member of the A2C team, and strongly oriented towards Cash Collection/Collection process enhancement and continuous improvement. The main focus of this role is to drive a cash mindset with a sense of urgency on Top Accounts and identifying areas of continuous improvement with the billing team, sales, operations and commercial. Analyze account status and determine appropriate action while embodying Iron Mountain’s core values, performance and productivity standards. Key Responsibilities: Provide customer account collection analysis, Aging Reports. Contact customers, via phone and e-mail, regarding their open invoices and billing disputes. Identify issues causing delay in payment. Achieve set collection plans by completing customers’ visits. Reduce overdue amounts by strategic actions and standard collection actions. Follow up reconciliation of the customers (monthly, quarterly and yearly). Responsible for the Bad-Debt and Credit Memo Reports for your portfolio. Independently manage a portfolio of accounts on a month over month basis to minimize the overall delinquency rate to achieve target results set by Management. Ensure customers received all issued invoices. Verify customers’ accounts balance with company’s balances to ensure proper reconciliation. Provide daily updates to ensure proper collections. Ensure receipt voucher is kept safe at all times and handed over to cashier when voucher is full. Ensure depositing the daily cash collections to the cashier. When necessary escalate collection issues to Manager. Monitor and report monthly KPIs. Be part of the Project Team involved in the implementation. Clearly communicate analysis and recommendations to leadership. Knowledge and adherence to Iron Mountain policy and procedures – department and company standards. Perform Collections Department projects as directed by management. Cash application if required. What You Will Bring Into The Role: Ability to read, analyse and interpret numerical data. Providing guidance and advice on how to resolve major customer payment issues, e.g. reviewing accounts with significant aged backlogs of unpaid invoices, unresolved disputes and unallocated cash. This will include leading meetings with major customers to discuss issues and agree resolution plans. Managing the implementation and ongoing execution of leading practice cash collection processes including proactive telephone collection, variable automated dunning letter cycles, etc. This will include reviewing results on a monthly basis and making adjustments as and when required. Functional Knowledge, Skills, and Competencies: Bachelor in accounting, finance, banking, business, or a similar field. A minimum of 2 years' experience as a credit officer. Outstanding analytical capability with attention to detail. Ability to clearly deliver executive-level communications. Responsibility for extending the management standards and quality guidelines in the department set by the EAM i/c Sales & Marketing and to assume complete management responsibility for all activities of the department in the absence of the EAM i/c Sales & Marketing, in line with the hotels mission, vision and objectives. Be guiding, team oriented, democratic and empowering.

Key Responsibilities
  • Assist the Commercial Director during preparation of the yearly revenue & expense budget.
  • In consultation with the Commercial Director, establish and direct the organization’s financial, administrative activities and operational procedures to ensure the yearly revenue and expense budgets are achieved.
  • Prepare and submit relevant administration in a timely and accurate manner such as sales call schedules, sales call reports, and monthly reports of the sales team to Commercial Director.
  • Ensure all Sales personnel have sales targets, personal sales plans and a personal incentive.
  • Formulate strategies in order to run an effective Sales team.
  • Follow up on weekly sales reports from all professional sales team members for presentation to the Commercial Director.

  • Through various tools (e.g. media, social events, gatherings with competition etc.), explore economical data, new developments in certain companies’ structures, new assignments, industrial complexes, new business centers, new projects which all could be of interest and benefit of the hotel and distribute this information to relevant staff.
  • Keep close follow up on developments of the competitor hotels (occupancy, structural alterations, renovation, special campaigns, rate promotions, marketing efforts, theme events etc.). Also explore and compare corporate traffic amongst the competition.
  • Propose ideas for promotional materials to be distributed during sales calls, international trade shows and for other promotional activities.
  • Supervise (and handle when necessary) the group and individual reservation requests. Follow-up the progress of the booked business.
  • Set up the corporate rates for local/international companies / travel trade accounts as well as other commercial accounts.
  • Collaborate with all local and overseas customers, make personal calls to accounts and trace potential customers.
  • Cascade all relevant key information to the Sales & Marketing team.
  • Update customers with the latest development of the hotel and inform hotel management of all changes in the customer profile.
  • Propose and coordinate the promotional activities undertaken by sales department and / or Food & Beverage. 
  • Supervise the coordination with the other department heads to ensure quality of guest / group satisfaction 
  • Project and prepare the participation procedure for domestic or international trade shows, fairs, exhibitions, workshops, road-shows, sales blitzes etc. and participate in such professional business related events. 
  • Supervise the quotations of group and travel agency rates as well as international corporate rates offered for multinational companies (directly or through travel consortia’s). Make sure that the respective Kempinski Global Sales Offices are informed of such quotations.
